Provides secretarial and administrative services for a corporate for business unit Top Executive. Duties are highly confidential and require broad and comprehensive knowledge of the organization¿s policies and operations. Organizes, prepares, and reviews and prepares reports. May have functional responsibility for providing direction to other administrative staff. Anticipates and prepares daily schedule of meetings and priorities. Initiates, establishes and communicates department meetings on behalf Top Executive. Prepares agenda, ensures meetings progress according to schedule and follows up on meeting action items. Organizes, prioritizes and summarizes the content of incoming materials, specially gathered information, special requests and meetings. Anticipates, prepares and compiles materials for conferences and meetings on own initiative. Anticipates, revises and sends correspondence, as needed. Creates, maintains, updates and reconciles spreadsheets to support reporting and analysis for executive manage

Job Requirements

Provides administrative services for a corporate or business unit Top Executive. Duties are highly confidential and require broad and comprehensive knowledge of the organization's policies and operations. Anticipates and facilitates daily needs of the executive and prioritizes work accordingly. Initiates, establishes and communicates department meetings on behalf Top Executive.






Ensures PMO administrative activities progress according to schedule and follows up on action items. Identifies areas for improvement.






Maintains positive/responsive relationships with subcontractor companies and plans subcontractor meetings with Top Executive, as needed. Interacts with all contractors on primary contracts in the business unit. Plans teammate meetings as requested.






Manages contract staffing processes as well as part of the subcontractor funding and timesheet processes. Acts as tier 1 support for contract issues. Engages subcontracting, finance, contracts, or other support organizations as appropriate to resolve subcontractor issues. Coordinates periodic morale building activities.






Manages purchases for the PMO. Purchases contract materials based on purchasing authorities granted to the admin. Reconciles credit card purchases for the contract.






Creates, maintains, updates and reconciles spreadsheets to support reporting and analysis for executive management.






In executive's absence, coordinates the timely communication of requests, issues, complaints, problems, and other action items to the appropriate manager. Assists other managers that report to the Top Executive with scheduling meetings and resolving issues.






Experience working government contracts is preferred.
